What we collect

Information you give us when you call, submit a form, or apply as a carrier: name, company, contact details, authority numbers, equipment and driver counts, and the lanes you want to run.

Information required to deliver the service to a client carrier: driver qualification and medical records, hours of service and electronic logging data, vehicle and maintenance records, insurance documents, financial and payroll records, and tax filing data.

Technical information from this website: pages requested, referring page, approximate location derived from network address, browser and device type, and dates and times of access.

Why we hold it

To respond to an enquiry and determine whether we are a fit.

To deliver dispatch, compliance administration, bookkeeping, and back office services under a signed agreement.

To meet record retention obligations that apply to motor carrier records.

To secure our systems, detect misuse, and keep an audit trail of access.

Who we share it with

Service providers that operate parts of the platform under contract, including the transportation management system, the accounting system, the electronic logging provider, the productivity and email platform, and the hosting and content delivery provider.

Brokers, shippers, factors, insurers, and government agencies, but only as instructed by the client carrier or as required to perform the service.

A regulator, auditor, or court where we are legally required to produce records.

We do not sell personal information and we do not share it for cross context behavioural advertising.

How long we keep it

Records subject to a regulatory retention period are held for at least that period. Where a longer period applies under an agreement or a legal hold, the longer period governs.

Enquiry records that do not become a client relationship are held no longer than twenty four months.

On termination a client carrier receives a full export of its operational and financial data.

How we protect it

Named individual accounts, multi factor authentication, least privilege access, one isolated tenant per client carrier, quarterly access review, and encryption of data in transit.

No system is perfectly secure. If a breach affects your information and the law requires notice, you will receive it.

Your choices

You may request access to, correction of, or deletion of personal information we hold about you, subject to records we are required to retain.

Texas residents have rights under the Texas Data Privacy and Security Act, including the right to know, to correct, to delete, to obtain a portable copy, and to appeal a denied request. Contact us to exercise them.

Requests go to privacy@sambarret.com. We will acknowledge within ten business days.

Children

The services are for businesses. We do not knowingly collect information from anyone under sixteen.

Changes

We will post any revised version here with a new effective date.
